Campus internEXP - Student Publishing Assistant for Virginia Cooperative Extension Publications

The Student Publishing Assistant works with Virginia Cooperative Extension Publication team members to create dynamic and accessible publications and other resources. These resources are posted on the VCE Educational Resources website and distributed by faculty members to people across the Commonwealth of Virginia and beyond. Virginia Cooperative Extension is an educational outreach program of Virginia's land-grant universities: Virginia Tech and Virginia State University, and a part of the National Institute for Food and Agriculture, an agency of the United States Department of Agriculture. Extension programs are delivered through a network of faculty at two universities, 108 county and city offices, 11 agricultural research and Extension centers, and six 4-H educational centers. VCE’s Publication office is responsible for the production and promotion of VCE’s publications and educational materials.

Position overview:
·     This paid internship ($11.00/hour) runs the 2021-2022 academic year, beginning August 2021.
·     Work a minimum of 10 hours, up to a maximum of 15 hours a week during the fall and spring semesters.
·     The intern will determine a set schedule at the beginning of each semester, between the hours of 8 a.m. and 5 p.m., Monday-Friday.
·     The intern is expected to check-in weekly with the Publications Manager.
·     This position is on-campus with the flexibility to work remotely part of the time.
·     Dress for your day policy (casual for most days, business casual for meetings).
 
Job description:
·     Revise InDesign and Word files incorporating the author’s changes and making the files accessible.
·     Layout new publications using standard accessible InDesign and Word templates.
·     Create and update fillable and accessible PDF forms.
·     Review and edit video captions in YouTube and Kaltura.
·     Proofread publications and website entries.
·     Upload publications on the VCE Resources website, the VCE storefront, and the Library of Virginia publications depository.
·     Assist with data management.
·     Conduct general office tasks as needed.
 
Desired Qualifications:
·     Proficient with Microsoft Office programs including Word and Excel; Adobe programs including Acrobat, InDesign, and Photoshop; and Google Suite programs.
·     Experience with YouTube and Kaltura video editing features.
·     Related experience in communications, English, public relations, marketing, web development, or other related disciplines.
 
Preferred Qualifications:
·     Graphic design skills.
·     Knowledge or experience with content management system (CMS) software.
·     Experience making fillable PDF forms.
·     Technical expertise with creating accessible documents.
 
Necessary skills:
·     Strong written and oral communications skills.
·     Ability to work independently on multiple projects.
·     Strong attention to details.
 
Who you will be working with:
As the Student Publishing Assistant you will be helping to support a small, but efficient team of three professionals who produce and maintain more than 2,500 publications, videos, and other content. You may have an opportunity to work directly with faculty members helping them to create and promote their publications and other resources. VCE Publications takes pride exploring and adapting new publishing technology such as digital publications and are at the forefront of creating accessible publications that meet Web Content Accessibility Guidelines (WCAG). This position reports to the VCE Publications Manager, who has more than 30 years of communications and marketing experience and has worked in both industry and higher education. This supervisor is also a Certified Professional in Accessibility Core Competencies and serves as a director-at-large for the Public Relations Society of America Blue Ridge Chapter.
